Here is a summary review of Level 2 — Systems
- Use plain language when developing any publication.
- Create an e-text master for each publication that explains
all visuals and non-text items in text.
- Consider building the requirement of an e-text master into
all contracts with outside suppliers you have hired to produce
original publications.
- Use the e-text file to:
- Transfer publications to the Web so they are compliant with
Common Look and Feel.
- Distribute the publication to clients who use a computer and
who require the e-text file for access.
- Give to suppliers so they can produce a range of multiple
formats upon request.
- Use the checklist to determine when producing an e-text
master and/or multiple formats would be strongly advisable.
- Use a professional supplier to develop multiple formats with
the exception of the e-text master which could be produced
internally or by the same contractors producing the original
product.
- Maintain a flexible budget to provide for multiple
formats.
- Obtain an ISBN and Government of Canada number for each
format.
- Ensure that copies of each format are sent to the Depository
Services Program (DSP). Contact the DSP to determine how
many.
- Price all formats the same.
- Promote the availability of multiple formats in as many
places as possible including the use of a promotional line within
each product.
- Include multiple formats within your ordering systems.
- Include multiple formats in your communications plans for
each publication.
